VIRGINIA W. KETTERING HALL MEETING ROOMS
 

Policies
 
Reservation

The Event Start time listed on the reservation confirmation is the time that a group may enter the meeting room. Groups may not enter the meeting room prior to the Event Start time. If additional time is needed to set up, the reservation request time should reflect these needs.

The Event End time listed on the reservation confirmation is the time that a group must exit the building. All clean-up must be completed prior to the Event End time.

Upon arrival, proceed to the Main Desk where faculty/staff and/or students must leave a University Identification Card to obtain a key for the meeting room(s).

Upon departure, all doors must be locked and the key returned to the Main Desk. Groups will be held financially responsible for any theft or damage to the room.

Furniture

Groups will be fined if any furniture is moved outside of any meeting room or outside of the building. If additional furniture is needed , contact the Kennedy Union staff for assistance.

Every effort is made to accommodate set-ups, but they cannot be guaranteed without 48 hours advance notice to the Kennedy Union staff. Set-ups, including the addition of audio-visual equipment, cannot be changed upon arrival.

Decorating

For Decorating Regulations that apply to events held in the Virginia W. Kettering Meeting Hall, refer to Policies on page 14 of this guide.

Cleaning

Each group is responsible for clean up of the space used. All trash must be removed from the room and placed in lined trashcans. Tables must also be wiped off. Supplies can be obtained from the Virginia W. Kettering Hall Main Desk.

Catering

Only student organizations are allowed to bring food into Virginia W. Kettering Meeting Hall Rooms. If departments or external users need food, please contact Catering Services. Please see pages 16-18 of this guide for further information concerning catering. We do not reserve the space for meals or any event with heated food. When catering is provided (for socials), outdoor temperature may factor into menu options. Approval from catering is required.
