Please assist us in keeping the facilities at
their best by complying with the following policies:
Advertising
All student organizations flyers, posters,
etc. must be approved and stamped in the Office of Student
Activities, Kennedy Union Room 206.
Publicity for each event may be hung one
per board University-wide. (The Office of Student Activities
has information where these boards are located, as well as
more information regarding their procedures.)
Flyers are not to be hung on entrance
doors, walls, restrooms, or elevators of any University
building.
Sheet Policy
1. Only registered student organizations
have the privilege of advertising via sheets. Sheets may
advertise recognized events only. Sheets advertising
services, offering congratulations, or being used for
campaign purposes will not be displayed. Only one sheet per
event may be publicized. Sheets will not be returned to
student organizations.
2. Sheets can only be 4 feet x 4 feet in
size.
3. Sheets can hang for a maximum of one
week (first come, first served).
4. Student groups should turn in sheets to
the Information Center located in the lobby of Kennedy
Union. An Information Center worker will hang sheets. Any
sheets hung by students will be removed.
Alcohol
The University of Dayton policy on alcohol
is consistent with that of the state law of Ohio. Ohio state
law prohibits the sale of, or consumption of any alcoholic
beverage by any person under the age of 21.
The department or student organization
sponsoring an open event will register the event and will be
held responsible for the proper enforcement of state, local,
and University regulations concerning the distribution of
alcoholic beverages. To register the event and to obtain a
detailed list of the responsibilities involved in hosting an
event with alcohol, contact the Office of Student Activities
in Kennedy Union Room 206.
Alcoholic beverages are permitted on
campus consistent with the state law and with the following
University regulations:
| Events that are open
to the general student population on or off campus at
which alcohol is served must register the event 15
working days prior to the event with the Office of
Student Activities, Kennedy Union Room 206.
Alcohol is not to be distributed
without charge at open events. A reasonable will be
required for alcoholic beverages.
Food and non-alcoholic beverages
must be available at an open event in sufficient
quantity to serve the anticipated number of guests.
An F-Permit, issued by the state of
Ohio, is required at any event where beer is sold and
where a charge or fee is involved when the event is
not covered by an existing permit. Information about
obtaining an F-Permit is available from the Office of
Student Activities, Kennedy Union Room 206.

Appropriate security for the event will be
arranged through the registration process in the Office of
Student Activities, Kennedy Union Room 206.
Kennedy Union complies with these and all
other alcohol policies listed in the Student Handbook. Any
intent to serve alcohol at an event scheduled with the
Kennedy Union staff must be mentioned at the time a request
is made. All reservations remain tentative until proper
permits and security have been obtained for the event.
Groups holding events in the Physical
Activities Center and Collins Gymnasium must stop serving
alcohol at least ½ hour prior to the end of the event. No
kegs are permitted in the PAC or Collins Gym. All beer must
be served from a beer trailer.
Student organizations are prohibited from
serving alcohol in Virginia W. Kettering Hall, the McGinnis
Center and the Frericks Center.
Animals
No animals are permitted in any campus
buildings or other University facilities with the exception
of companion dogs.
Clean-up
Each group is responsible for clean-up of
the space used. We ask that you leave the room in the
condition that you found it. When using a room in Lawnview
Apartments, the McGinnis Center or Virginia W. Kettering
Hall, you must remove your trash from the building and take
it to the trash receptacle behind the buildings.
Decorations
The following decorating regulations apply
to Kennedy Union, Virginia W. Kettering Hall meeting rooms,
and the McGinnis Center.
Candles for decorative
purposes are permitted only under the supervision of
the Kennedy Union & Conference Services Office.
Candles for ceremonial events are available at no
charge from the Kennedy Union & Conference Services
Office.
Wax residue on carpets and furniture will result in
a monetary fine.
Only flameproof material may be used
in decorations.
All lights or lighting devices must
be labeled ‘approved’ by the National Board of Fire
Underwriter’s Laboratories, Inc., Factory Mutual’s
Laboratories, or the National Bureau of Standards.
Decorations may not be placed on
lamps or ceiling lights.
Decorations may not be placed where
they block doorways, stairways, or general
passageways.
Masking tape is the only adhesive
that may be used on walls.
Pins and thumbtacks may be used in
ceiling tiles. Tape of any kind may not be used on the
ceiling. The use of Stik-Tac is prohibited.
Any decorations placed on doors must
not block visibility through windows in the door.
Crepe paper, glitter, and straw are
not permitted; if used, a monetary fine will be
assessed.
The Department or Student
Organization responsible for the event must remove all
decorations at the close of the event. |
Any questions or concerns are to be
addressed to the Kennedy Union Events staff.
* Cleaning fees may be assessed for
violation of the above rules.
Display Cases
There are display cases available for
departments and student organizations to reserve in Kennedy
Union. The main display case can only be used by departments
on a weekly or monthly basis. This display case is located
to the left as you enter Kennedy Union through the plaza
doors.
The remaining six display cases are
available for use by recognized student organizations.
Contents of each display remain under the discretion of the
Kennedy Union & Conference Services administrative staff.
These display cases can be reserved on a weekly basis
(Monday-Monday), for the maximum time period of two weeks.
Students putting up the display will be asked to leave their
ID at the Information Center while they have the key. If the
display is not removed by noon on the next Monday, there
will be a $25.00 charge.
The locations of these display cases are
as follows:
1) First floor, by
elevator outside of Boll Theatre: 70”x 46”
2) Ground Floor, by the Women’s Restroom: 4’ x 4’
3) SGA Case
4) Ground Floor, to the right of the Men’s restroom:

5) Ground Floor, to the right of the Men’s restroom:

Special Notes: The Theater program has
priority over the display case next to Boll Theatre. The
third display case, located between the restrooms, is SGA’s.
CAB has three display ceases located on the ground floor
that cannot be reserved. These display cases are by the
gate, the ATMs, and the right half of the display case
across from the Games Room.
Food
Food cannot be brought into the Kennedy
Union or Virginia W. Kettering Hall. If food is necessary
for an event, please contact Catering Services at x92216.
However, student groups may bring their own food into
Virginia W. Kettering Hall. Food can be brought into the
McGinnis Center and Lawnview and outside catering services
may be used. Groups bringing food into the McGinnis Center
are responsible for cleaning up and emptying their trash
into the dumpster. No food is allowed in the Boll Theatre,
Chudd Auditorium, or O’Leary Auditorium.
Furniture
No furniture may be moved outside of any
meeting room or any buildings. Extra tables and chairs
remain in the room because we have limited space to store
these items. However, if you need additional tables, or
chairs, we can add these to a room set up. The furniture
in the Torch Lounge cannot be moved.
If furniture is needed outside, it is the
responsibility of the group to make arrangements. The
Kennedy Union staff have a list of recommended vendors to
contact if you need to rent furniture for outdoors.
Kennedy Union Lobby Tables
There are five tables that recognized
student organizations and military recruitment may reserve.
Three tables can be reserved for use in the food court,
while the other two tables can be reserved for use in the
first floor lobby. Tables are reserved on a first-come,
first-served basis and can be used from 11 am – 2 pm, Monday
through Friday. These tables are reserved on a daily basis
for a maximum of one week.
To pick up a table, a student from the
organization must leave their student ID at the Information
Center. Then they can pick up a table and two chairs,
located in the stairwell next to the Information Center.
Tables reserved for the lobby cannot go down to the food
court. Bake sales are not permitted in the food court.
External groups are not allowed to reserve
tables (whether on their own or through a student
organization).
Wheeled Vehicles
Wheeled vehicles (with the exception of
wheelchairs), skateboards, and roller blades will not be
permitted in Kennedy Union, the McGinnis Center, or Virginia
W. Kettering Hall.
Kennedy Union Passenger Vans
The Kennedy Union Van is maintained and
supervised by the Kennedy Union & Conference Services
Office. To make a reservation, contact the Kennedy Union &
Conference Services Office at x93333. Van reservations
follow the same booking schedule as the meeting room
reservations (see p. 6).
Additionally departments may only book vans two times per
month. Any recognized University Department or Student
Organization may rent the van under the following
conditions:

occurs by completing the University Driver’s Training
Seminar, a class taught by the Environmental Safety

Lost and Found
The Kennedy Union Information Center,
Virginia W. Kettering Hall Main Desk, and the McGinnis
Center Main Office will each maintain a Lost and Found. All
unclaimed items will be sent to Public Safety at the end of
each week.
Passageways
Lobbies, entryways, and corridors shall be
kept free from booths, chairs, displays, and other such
items that might, in the judgment of the Building
Director/Facility and Operations Manager, interfere with the
safe passage of traffic.
Periodicals
Non-University newspapers and magazines
may be placed in the bins on the ground floor directly
across from the Kennedy Union Food Court. Newspapers,
magazines, and other publications located in other parts of
the building will be considered abandoned and will be
removed by the Kennedy Union staff.
The McGinnis Center Main Office will
accept non-University newspapers, magazines, and other
periodicals for distribution.
Emergencies
Any concerns (i.e., room temperature, room
set-up, spills, accidents, etc.) should be reported as soon
as possible to the Kennedy Union & Conference Services
Office, Lawnview Apartments Main Desk, McGinnis Center Main
Office, or Virginia W. Kettering Hall Main Desk.
If the fire alarm sounds while you are
having a meeting, everyone must evacuate the building as
quickly as possible.
A steady tone of sirens lasting from three
to five minutes will be sounded if conditions indicate a
possible tornado touchdown. At this time, it is imperative
that all individuals move quickly to the ground
floor/basement and/or take cover in an interior hallway,
bathroom, or closet. Make every attempt to get under heavy
protective furniture
Inclement Weather
During winter storms, the University may
close offices and cancel classes. During these times,
however, Kennedy Union will remain open for meetings and
events. It is the responsibility of the contact person to
call our office at 229-3333 if a meeting or event will be
canceled. If you have also ordered catering, you must
contact the catering kitchen directly at 229-2232 to cancel
your order. We will make every attempt to contact you, but
if catering orders are not canceled you may be billed for
the event.
EXTERNAL USERS AGREEMENT
Meeting Room Fees/ Deposit
A contract will be mailed with your
reservation confirmation. A rental fee will be assessed for
all meeting rooms reserved. A $50.00 deposit is due with the
completed contract. Cancellations that occur less than 1
week (5 working days) before the event will result in the
loss of the deposit. The deposit will be applied to the
final bill.

Indemnification
The client agrees to provide a Certificate
of Insurance noting the University of Dayton as an
“Additional Insured” covering public liability and property
damage. The client shall furnish said certificate within at
least five working days of the event, and said certificated
shall contain a provision that the certificate shall not be
changed or canceled during its term until a seven day
advance written notice is furnished to the University. The
client assumes full responsibility for the acts of the
participants and their guests using University facilities,
and agrees to reimburse the University for any and all
damages done to said facilities during the time covered by
the agreement. The client hereby expressly waives any and
all claims against the University for or on account of any
personal injury sustained, or any loss of property caused by
fire, water deluge, or overflow or explosion howsoever
arising or caused or being with said premises, or for any
damage occasioned by failure to keep said premises in
repair, or for any damage arising from acts of neglect of
members of client’s event or their occupants, or for the
loss of any article or property by theft or from any cause,
from said premises or building or for any other claim or
loss, not the fault of the University. In the event the
University will find it necessary to bring legal proceeding
to recover possession of the premises or to enforce any of
the terms of the agreement, including the recovery of
damages or charges, the client agrees to pay all reasonable
attorneys’ fees, costs, and expenses so incurred by the
University.
THE UNIVERSITY OF DAYTON IS REQUIRED TO
CANCEL THIS CONTRACT AND RESERVATION IF CERTIFICATE OF
INSURANCE IS NOT RECEIVED 5 WORKING DAYS PRIOR TO EVENT.
Agreement
It is mutually agreed that no oral
understanding or agreement exist between the Client and the
University and that no alterations or variations of the
terms of this agreement shall be mage except in writing and
signed by the contracting parties. This agreement shall be
governed by the laws of the State of Ohio.
