Reservation
The Event Start time listed on the reservation
confirmation is the time that a group may enter the
meeting room. Groups may not enter the meeting room
prior to the Event Start time. If additional
time is needed to set up, the reservation request time
should reflect these needs.
The Event End time listed on
the reservation confirmation is the time that a group
must exit the building. All clean up must be completed
prior to the Event End time.
Upon arrival, proceed to the Main
Office and a staff member will unlock the meeting
room.
Upon departure, notify the Main
Office and a staff member will lock the meeting room.
Groups will be held financially responsible for any
theft and/or damage to the room.
Furniture
No furniture may be moved outside any meeting room.
This includes the movement of tables into hallways.
Groups may be charged if any furniture is moved
outside of a meeting room.
Several tables are available for use
outside the meeting rooms. If furniture is needed
outside, it is the responsibility of the group to make
arrangements for use at the time of requesting the
reservation. If additional furniture is needed,
contact the Kennedy Union staff for a list of
recommended vendors.
Every effort is made to
accommodate set-ups, but they cannot be guaranteed
without 48 hours advance notice to the Kennedy Union
staff. Set-ups, including the addition of audio-visual
equipment, cannot be change upon arrival.
Decorating
For Decorating Regulations that apply to event
held in the McGinnis Center, refer to Policies on page
14 of this guide.
Cleaning
Each group is responsible for clean up of the space
used. All trash must be removed from the building and
taken to the trash receptacle behind the McGinnis
Center. Supplies can be obtained from the McGinnis
Center Main Office. If the kitchen is used, it must be
cleaned prior to departure.
Catering
Groups are allowed to bring food into the McGinnis
Center. The kitchen is available only to groups that
are using the Multi-Purpose room. The kitchen is
equipped with a refrigerator, stove, and microwave.
Utensils, pots and pans are not provided. Please see
pages 16-18 of this guide for further information
concerning catering.
